***IMPORTANT: VALLEY FORT SEVENS TICKETS REQUEST - DEADLINE MONDAY, MARCH 13***

Valley Fort Parents,

We are now able to provide you with the opportunity to apply for Sevens
tickets. Many thanks to Hannette Otten and Hester Grisel who are helping
with this and have been instrumental in simplifying and partially automating
the application process.

As always, we expect demand to exceed supply, but we hope to accommodate as
much demand as possible by splitting up the tickets by day so you only get
what you need, and providing priority for extra tickets to reward those who
have volunteered to help the club throughout the season. We have bought up
every extra ticket we could, including a large number of Sunday tickets
returned to the HKMRFU by some of the other clubs.

Please complete the ticket application template by end of day MARCH 13.  The
template can be accessed through this link:

Detailed instructions follow below.


SEVENS FORMAT AND MINI SHOWCASE SCHEDULE:

The Sevens is being played over 3 days, Friday to Sunday, April 7 to 9. This
year the schedule has been extended to include extra women’s games at the
stadium on Friday and so there is an earlier start to Friday. You can expect
3 action-packed days of rugby and other entertainment with Friday becoming
more atmospheric with excellent group games and a full-house as lots of kids
stay on after the showcase games and their parents sneak away early from the
office, or late from a long lunch… Saturday including the Marchpast
involving all the Sevens teams and the mini clubs, Madness as this year’s
musical entertainment, and of course, a lot going on in the South Stand!
Sunday is usually the best rugby with all the knock-out rounds.



We’ve just received the draft schedule for mini showcases and this is what
is happening:

·         U5 & U6 – no participation in showcase (although some U6 MAY be
asked to play with U7)

·         U7 – we have 9 teams playing Friday (10.15 to 11.30am)

·         U8 – we have 5 teams playing Saturday (7.15 to 8.30am)

·         U9 – we have 4 teams playing Friday (10.15 to 10.50am)

·         U10 – we have 4 teams playing Friday (10.25 to 11.30am)

·         U11 – we have 1 team (VF1) playing Friday (11.00 to 11.15am) and 1
team (VF2) playing Saturday (7.15 to 7.25am)

·         U12 – we have 1 team playing Sunday (7.13 to 10.24am)

·         U10 girls – we have 2 teams playing at the Women’s Sevens at So
Kon Po on Friday (8.00 to 8.27am) and then going to play at the Stadium on
Friday (11.27 to 11.38am). Girls must play in both games (i.e. have to play
in So Kon Po in order to play in stadium)

·         U12 girls – we have 1 team playing at the Women’s Sevens at So Kon
Po on Friday (8.28 to 8.55am) and then going to play at the Stadium either
on Friday (11.15 to 11.38am) or Sunday (7.37 to 7.48am). Girls must play in
both games (i.e. have to play in So Kon Po in order to play in stadium).
Stadium schedule to be determined after Kim Lam tournament on March 19.


Kids must have a ticket in order to play in the showcase games. For those
playing Friday games, we will provide an “invitation” letter that you can
use for requesting the day off school.


Colts do not have showcase games except for those selected for NAG Sevens
squads who play on Sunday morning at the stadium.



PRICE OF THE TICKETS:

·         Adult ticket: HKD 1800 for 3-day ticket or HKD 300/750/750 for
Fri/Sat/Sun individual days

·         Child ticket (U12 and below): HKD 900 for 3-day ticket or HKD
75/75/900 for Fri/Sat/Sun individual days (there are NO Sunday child
tickets, except for 15 that will be sold to each team playing in Sunday
showcase – i.e. our U12 and potentially U12 girls). If you want to take a
child on Sunday, they have to use an adult ticket



GUIDELINES FOR APPLICATIONS – “STANDARD” APPLICATION AND “SPECIAL REQUESTS”:


We will try to accommodate all requests, but would like everybody to start
with a “Standard” application as per below, and anything else will be
considered as a “Special Request”, which will be prioritized based on
contributions to Valley Fort



Standard

·         Colts (U13 through U19):  All Valley Fort Colts players, who are
regularly training and playing, are eligible for 1 adult ticket for 3 days.
If you don’t need 3 days, just specify the days that you want. (We hope that
we can also provide a Sunday ticket for every colt parent if requested in
special requests)

·         Minis (U7 through U12):  All Valley Fort U7 through U12 players,
who are regularly training and playing, are eligible for 1 child ticket AND
1 adult ticket per family for at least 2 days (i.e. family with 1 eligible
mini player gets 1 child ticket + 1 adult; with 2 eligible mini kids gets 2
child tickets + 1 adult). As we anticipate significant demand for Saturday
tickets in particular, it’s important that you help us by prioritizing which
days you prefer, with 1st priority being the day that your kid is playing in
the showcase. Please do not apply for days that you don’t need (i.e. if you
don’t plan to go, or if you’ve already received tickets through the public
ballot). We will try to provide 3 days if you request

·         Minis (U5 & U6):  Not eligible for tickets, but we will try to
accommodate demand through special requests. So please go into form and
enter parent name, click on “parent”, then go through to “special request”
page where you can enter “U5 parent” and the your ticket request



Note: If we run out of child tickets (e.g. for Saturday), we will offer an
adult ticket (if available). This will be based on the prioritization.



Special requests



Please use the “Special Requests” page of the application to provide further
information to help with prioritization, and any other tickets you want to
buy (or sell to Valley Fort). Information and requests could include

·         Ticket for parents (colts) or for 2nd parent (minis)

·         Tickets for U5 and U6 kids, and their parents

·         Tickets for siblings not eligible through the standard application

·         Tickets for friends (this will be lowest priority)

·         Any tickets that you received from public ballot (or other
sources) that you would be prepared to sell back to Valley Fort. We will pay
face value, not admin fees (as we are not charging admin fee for all of our
work on ticket allocation!)


Note for U12 kids expecting to play showcase: please apply for a Sunday
ticket (adult) for your kid as per standard request above. You can note in
special requests to change to kids Sunday ticket. We’ll confirm this once
we’ve verified U12 and U12 girls team sheets for Sunday showcase.


Ultimately there is no entitlement on special requests. Priority will be
based on contribution to club (verified by head coaches), so anything beyond
2 days and more than the base number of tickets (1 per kid; 1 parent per
family) will reflect this contribution.


ALLOCATIONS, PAYMENT AND DISTIBUTION


We request all applications be submitted by March 13. We will then send out
a spreadsheet with ticket allocations on March 17 and request confirmation
by March 19. Final allocations (and cost) to be sent out on March 20.
Details of ticket collection and payment process will be circulated at that
time, but will likely involve collection at training on March 26.


GUIDELINES TO FILL OUT THE TICKET APPLICATION FORM

1. You have to fill out the form separately for every applicant per family
(e.g. child 1, child 2…. Child X, parent)


2. Family name: please make sure to add first initial of oldest child (e.g.
Walters, K)


3. Please only apply for tickets for your family. By filling out the form
per person, you can apply e.g. for 1 child only Fr and Sa, and maybe for
another child, Fr, Sa and Su and a parent for 3 days


3. If you like to prioritize days please do so, but you don’t have to (we
would do that for you based on age group, showcase schedule)



4. If you would like extra tickets, please apply through the “Special
Requests” page (See example below). Keep the request simple and short. In
the template there will be 2 boxes available for requests



ENTITLED EXTRA TICKETS

Contribution to the club gives priority to apply for an extra ticket(s).
Please let us know what your contribution has been this year: coaching,
reffing, medic, kit distribution, festival volunteering, hosting NZ kids,
Monaco kids, etc. (We will verify with head coaches and our records). You
can also just enter “U5 parent” or “U6 parent”


REQUEST FOR EXTRA TICKETS OR EXCHANGE OF DAY

This will be for adult tickets only, and will depend upon available tickets
following first round of allocations. Please be clear about reason for
request and day(s) required. Requests for extra tickets on one day and
giving up another days (esp Saturday tickets) helps.
